Administrative Coordinator, Data Operations
The Food and Drug Law Institute (FDLI) is a 501(c)(3) nonprofit membership organization that offers education, training, publications, and professional engagement opportunities in the field of food and drug law. As a neutral convener, FDLI provides a venue for stakeholders to inform innovative public policy, law, and regulation. FDLI’s scope covers all industries regulated by the U.S. Food and Drug Administration (FDA) and related agencies and authorities in the U.S. and globally, including drugs, medical devices, biologics, food, dietary supplements, cosmetics, veterinary, tobacco and nicotine products, and cannabis-derived products.
The Administrative Coordinator, Data Operations is an integral role at FDLI. This position supports the entire organization through the creation of events across our platforms and ensures database integrity and the success of our marketing automation for members/nonmembers, speakers, attendees, and more. This position is part of the Administration/Operations team made up of five staff members and reports to the Deputy Director, Operations.
FDLI is a hybrid work environment composed of a strong, supportive, and close team of 18 professionals. While employees have the discretion to work from an approved remote location, this position will need to attend in-person meetings and events in the Washington, DC region, as necessary to meet the needs of FDLI.
KEY RESPONSIBILITES
- Create events across platforms (conferences, courses, webinars, etc.):
- Build event structure including registration pricing, sponsorship packages, agenda, sessions, speaker records, and webpages for event promotion and information
- For select events (utilizing Cvent platform), ensure accuracy of attendees, speakers, and sponsors
- Working with the Deputy Director, Operations, create forms to collect and automatically push data into Salesforce database environment
- Manage and maintain digital archive of products and recordings
- Cross Departmental Work:
- With Marketing and Membership team:
- Assist in creation of lists and criteria for email communication and outreach
- Assist with updating website content to align with marketing priorities and organizational updates
- With Education team:
- Support event/publications creation and work to improve customer experience
- Participate in on-site event logistics
- With Marketing and Membership team:
- Contribute to and maintain database integrity, conduct research to resolve missing or inaccurate information
- Collaborate with staff to improve the efficacy of our systems, and contribute to strategic decision making
- Other duties as assigned in support of FDLI operations
QUALIFICATIONS/PREFERENCES
- Associate or Bachelor’s degree
- Microsoft Office experience (passion for Excel preferred)
- Previous database experience or a strong drive to learn
- Experience with any of the following is helpful, but not required: Salesforce, Fonteva, Zoom (Meetings, Webinar, Events), Cvent, WordPress, HTML, Tableau, Marketo, Zapier, Adobe Creative Cloud, and Canva
- Interested in data, curious mind
- Detail-oriented and organized
- Ability to communicate and work with multiple teams on different priorities and projects
- Sense of humor, dry appreciated

BENEFITS:
FDLI offers a $48,000 salary and generous benefits package. This is a full-time position.
