Administrative Coordinator, Education

The Food and Drug Law Institute (FDLI) is a 501(c)(3) nonprofit membership organization that offers education, training, publications, and professional engagement opportunities in the field of food and drug law. As a neutral convener, FDLI provides a venue for stakeholders to inform innovative public policy, law, and regulation. FDLI’s scope covers all industries regulated by the U.S. Food and Drug Administration (FDA) and related agencies and authorities in the U.S. and globally, including drugs, medical devices, biologics, food, dietary supplements, cosmetics, veterinary, tobacco and nicotine products, and cannabis-derived products.

The Administrative Coordinator, Education is an integral role at FDLI. This position supports the Education team by managing the day-to-day administrative activities associated with design, planning, and execution of conferences, webinars, courses, events, and publications. The position is a key part of a small team who design all of FDLI’s educational content and reports to the Director, Education. This position provides an excellent opportunity to learn about the field of FDA law and non-profit governance.

FDLI is a hybrid work environment composed of a strong, supportive, and close team of 18 professionals. While employees have the discretion to work from an approved remote location, this position will need to attend in-person meetings and events in the Washington, DC region, as necessary to meet the needs of FDLI.

KEY RESPONSIBILITES

  • Collaborate with FDLI staff to carry out duties related to course, webinar, conference, and publication execution
  • Schedule and attend planning calls on behalf of program lead for webinars, conferences, and courses
  • Write post summaries of planning calls and distribute to participants
  • Update and maintain speaker and volunteer database records for courses, webinars, and conferences
  • Update and maintain author and editor volunteer records for publications
  • Support the publication lifecycle for Update magazine, the Food and Drug Law Journal, books, and other publications needed
  • Respond to queries on educational programs and publications by email and phone
  • Generate data and analysis of educational programs to support in the assessment of trends and pinpoint future directions
  • Facilitate submitted articles through the entire peer review process
  • Provide accurate and timely information to the marketing department to ensure successful promotion of programs and publications
  • Manage digital platform that hosts annual law student writing competition
  • Other duties as assigned in support of FDLI’s operations

HERE’S WHAT YOU MIGHT HAVE TACKLED IN THE PAST WEEK:

  • Scheduled conference calls for sessions occurring at an upcoming conference and prepared call summaries for the participants
  • Created and maintained author, editor, and peer review records in FDLI’s main database
  • Tracked article submissions in database
  • Proofread articles or agendas for grammar, punctuation, and style errors
  • Responded to requests from members on programs or publications
  • Corresponded with authors when articles were published and provided them with a final copy of their work
  • Attended a conference and assisted with monitoring panel sessions

QUALIFICATIONS/PREFERENCES

  • Associate or Bachelor’s degree
  • Excellent attention to detail
  • Strong time management, organizational skills, and multitasking abilities
  • Strong interpersonal and communication skills, both written and verbal
  • Ability to prioritize, plan, schedule effectively, and balance changing priorities
  • Professional demeanor and desire to work in a team environment
  • Ability to build relationships with staff, members, volunteers, as well as outside organizations
  • Consistently demonstrate courteous, ethical, cooperative, accountable, and professional behavior to all contacts, internal and external
  • Exceptional listener
  • Microsoft Office experience and ability to learn new software
  • Sense of humor
